1. At a glance
We collect the minimum needed to run a field service app: who you are, what you put in the app, and how the app is performing. We do not sell it, we do not run advertising trackers, and we do not let our AI providers train on your job data.
| Do we sell personal information? | No. We have never sold or shared personal information for cross-context behavioural advertising, and we do not intend to. |
|---|---|
| Do we run advertising or analytics trackers? | No advertising cookies, no cross-site tracking pixels, no ad networks. |
| Do we take payment card details? | No. Card data goes to the app store or payment processor and never reaches our servers. |
| Where is data stored? | On cloud infrastructure in the United States. |
2. Controller and processor
For information about you — your account, your billing record, your support emails, your waitlist entry — TEKA DIGITAL LLC is the controller.
For information about your customers and employees that you enter into the app — a homeowner's name, address, phone number, or a photo of their basement — you are the controller and we act as your processor. We handle that information on your instructions, for the purpose of providing the service to you, and not for our own purposes.
3. What we collect
Account and billing information
Name, work email address, business name, trade, crew size, password hash, plan, and the invoices and billing records tied to your subscription. If you subscribe on the web, our payment processor holds the card and returns only a token, the last four digits, the card brand and the result of the charge.
Job content you create
Voice notes, the transcripts produced from them, photographs, written job notes, price books, estimates and their status, scheduling entries, and the customer contact details you enter so an estimate can be sent.
Location
A job address you type, and — only if you tap to attach it — the device location at the moment of capture. TEKA does not track a device continuously in the background and does not follow a technician's movements between jobs.
Device and usage information
App version, operating system version, device model, language, crash reports, error logs, and records of actions such as “estimate sent”. Server logs record IP address, request time, URL and user agent for security and troubleshooting.
Waitlist information
If you join the waitlist we store the name, email address, trade and crew size you submit, the time of submission, a truncated one-way hash of your IP address and your browser's user agent string. We keep the hash rather than the address itself so we can review abuse without holding an identifier.
Correspondence
The content of emails and support requests you send us, and our replies.
4. What we do not collect
Please do not put these into the app; the service is not designed to hold them, and we have no need for them:
- social security numbers, driver's licence numbers, passport numbers or other government identifiers;
- payment card numbers, bank account or routing numbers, or online banking credentials;
- health, medical or insurance claim information;
- biometric identifiers, including face or voice templates used for identification;
- consumer credit reports or background check results;
- precise continuous background location, or any form of employee surveillance beyond the job records you create.
We do not knowingly collect information from children, and we do not build advertising or marketing profiles about anyone.
5. Why we use it
| Purpose | Legal basis (where UK/EU law applies) |
|---|---|
| Providing the app: capture, drafting, sending estimates, scheduling | Performance of a contract |
| Authentication, security, fraud and abuse prevention | Legitimate interests |
| Support and correspondence | Performance of a contract; legitimate interests |
| Billing, tax and accounting records | Contract; legal obligation |
| Diagnosing crashes and improving reliability | Legitimate interests |
| Waitlist and beta invitations | Consent, which you can withdraw at any time |
| Complying with law and responding to lawful requests | Legal obligation |
We do not use your job content or your customers' details to market to anyone, and we do not make automated decisions about you that have legal or similarly significant effects.
6. How AI processing works
Two parts of the product use machine learning: turning a voice note into text, and assembling a draft estimate from that text plus your price book. Depending on the account and the feature, this runs on the device or on model providers we contract with.
- Content sent to a model provider is transmitted over an encrypted connection and is processed only to return a result to you.
- Our agreements with those providers prohibit using your content to train or improve their general models, and require deletion after a short processing retention window.
- We do not use your job content to train models of our own without asking you first, separately and specifically.
- Outputs are drafts for a person to review. See section 6 of the Terms of Service.
7. Cookies and page assets
This website sets one strictly necessary cookie, teka_s, which holds a session identifier so the waitlist form can be protected against cross-site request forgery. It expires when you close the browser. No consent banner is required for it because it is essential to a function you asked for.
We do not use advertising cookies, retargeting pixels, session recording or third-party analytics on this site.
For honesty about third parties: our pages load a web font from Google Fonts (fonts.googleapis.com, fonts.gstatic.com) and a CSS framework from the Tailwind CDN (cdn.tailwindcss.com). When your browser fetches those files, those providers receive your IP address and user agent as part of serving the request. They do not receive your form entries or any account data. We plan to self-host both files ahead of general release.
Inside the mobile apps there are no advertising identifiers and no ad SDKs. We do not ask for App Tracking Transparency permission because we do not track you across other companies' apps or websites.
8. Who else processes it
We do not sell personal information and we do not share it for advertising. We do use a short list of service providers, each under a written agreement that limits them to processing on our instructions:
| Category | What they do |
|---|---|
| Cloud hosting and storage | Run the application, database and file storage (United States) |
| AI model providers | Speech-to-text and draft generation |
| Transactional email | Send account, estimate and waitlist emails |
| Payment processing | Take web subscription payments and hold card data |
| App distribution | Apple App Store and Google Play, including in-app subscriptions |
| Error monitoring | Collect crash and error diagnostics |
We may also disclose information where we are legally required to, to enforce our terms, to protect the rights and safety of people or the service, or in connection with a merger or sale of the business — in which case we will tell you before your information becomes subject to a different policy. A current list of named subprocessors is available on request from [email protected].
9. International transfers
We are based in the United States and our infrastructure is in the United States. If you use TEKA from outside the US, your information will be transferred to and processed there. Where a transfer from the UK or European Economic Area is involved, we rely on the European Commission's Standard Contractual Clauses, with the UK Addendum where applicable, together with technical measures such as encryption in transit and at rest.
10. How long we keep it
| Data | Retention |
|---|---|
| Account and job content, active subscription | For as long as the account is open |
| Account and job content, after cancellation | Exportable for 30 days, then deleted within 90 days |
| Trial accounts that never subscribe | Deleted 90 days after the trial ends |
| Voice recordings | Deleted 30 days after transcription unless you keep them on the job |
| Billing and tax records | Up to 7 years, as US tax law requires |
| Server and security logs | 90 days |
| Waitlist entries | Until launch plus 12 months, or until you ask us to remove you |
| Support correspondence | 24 months |
Backups are retained on a rolling 35 day cycle, so deleted content can persist in a backup for up to 35 days after deletion from the live system.
11. Security
- Encryption in transit with TLS, and encryption at rest for databases, file storage and backups.
- Passwords stored as salted hashes; we can never read yours.
- Role-based access, least privilege, and multi-factor authentication for staff access to production.
- Access to customer content restricted to the few people who need it for support or operations, and logged.
- Regular dependency patching, backups and restore testing.
No system is perfectly secure. If a breach affects your personal information we will notify you and any regulator we are required to notify, without undue delay and in line with applicable law.
12. Your rights
Depending on where you live you may have the right to:
- know what personal information we hold and get a copy of it;
- correct information that is inaccurate;
- delete information, subject to records we must keep by law;
- receive it in a portable, machine-readable format;
- opt out of marketing email at any time, using the unsubscribe link or by writing to us;
- opt out of the sale or sharing of personal information and of targeted advertising — we do none of these, so there is nothing to opt out of;
- where UK or EU law applies, object to or restrict processing based on legitimate interests, withdraw consent, and lodge a complaint with your supervisory authority;
- not be discriminated against for exercising any of these rights.
Write to [email protected] from the address on the account, or from inside the app. We respond within 45 days and will tell you if we need a further 45, as US state privacy laws allow. We may need to verify who you are before acting on a request. You may use an authorised agent; we will ask for proof of authorisation.
If your request concerns information a TEKA customer entered about you — for example you are a homeowner who received an estimate — that business is the controller. Send your request to them, or write to us and we will forward it.
13. Children
The service is for business use by adults. We do not direct it to children, do not knowingly collect personal information from anyone under 18, and will delete such information if we learn we have it. Write to [email protected] if you believe a child has given us information.
14. Changes
If we change this policy we will update the date at the top of this page. For material changes we will give notice by email or in the app at least 14 days before the change takes effect. Earlier versions are available on request.
